This government department produces, uses and shares documents of varying levels of sensitivity – e.g. from unclassified, to ‘official’ and ‘highly classified’ levels. It needs to share these materials with only certain, intended recipients, within its own department and beyond, in its jurisdictions and also overseas. While email and unsecured file sharing and collaboration platforms can be sufficient for unclassified documents, those methods do not provide the levels of security required for more sensitive materials. Previously, encrypted USB storage devices had been used, however this was slow and expensive, and difficult to track and audit. The risk of materials falling into the wrong hands and misappropriated was high.
Covata worked with the client to implement its SafeShare solution which has been designed to allow users to share and collaborate on documents at varying degrees of sensitivity, both internally as well as with external customers and stakeholders. Its defense-grade encryption creates the free, but highly secure and encrypted, flow of data between intended parties, irrespective of its level of sensitivity.
SafeShare’s watermarking feature provided another valuable layer of security, discouraging recipients from taking photos or screenshots of the contents of decrypted documents and distributing them to unintended audiences. A streamlined and cost-effective solution, SafeShare eliminated risky methods, such as email and USB data transfer, in favour of web-based technology that is improving efficiency, security, traceability and audit capabilities of data transfers.
